Ways to Credit a Member

Learn the different ways you can credit a member in Gymflow and when to use each one.

There are three ways to credit a member in Gymflow, and each one serves a different purpose. Choosing the right method ensures the credit is applied correctly and doesn't cause issues down the line.

1. Adjust The User’s Wallet Balance

The wallet is a credit balance on a member's account that can be used toward future purchases or payments.

This is the best option when:

  • You want to give a goodwill gesture (e.g. compensating for an issue or inconvenience)

  • You want to give the member credit that they can spend flexibly rather than issuing a refund — refunds are always possible but come with processing fees, so a wallet top-up is often a better option for smaller amounts

Whether the wallet balance is automatically applied to a member's next payment depends on your club's settings. Go to Settings > Club to control whether wallet balance is used as the default payment method.

2. Apply a Credit to an Invoice

This option lets you reduce the amount due on a member's next scheduled membership invoice. It's a one-off adjustment — it only affects that single payment, and future invoices will return to the standard membership price.

This is the best option when:

  • You want to give a member a one-off reduction on their next membership payment

  • You're offering a discount for a specific billing period without changing the membership price permanently

3. Increase Credits in a Credit Pack

If a member has a credit pack, you can manually restore credits they have already used. This is separate from wallet balance — credits here represent bookable sessions, not monetary value.

Important: You can only adjust a member's credit pack up to its original quantity — you cannot increase it beyond what they originally purchased. For example, if a member bought an 8-credit pack and has used 3, you can add up to 3 credits back (restoring them to 8). You cannot set the total above 8.
