Use waitlists to maximise class attendance. Automatically book users into a class if a spot becomes available.

Gymflow's waitlist functionality offers gym owners a effortless way to maximise class attendance and ensure optimal utilisation of resources. By enabling a waitlist for your classes, you can automatically fill spots as they become available, reducing the chance of empty spaces due to last-minute cancellations.

Any user can join the waitlist however they will only secure a position when one becomes available if they have the class credits available to complete the booking

Setup A Class Waitlist

When adding or updating an class, you can decide whether to enable a waitlist and how many slots it should have. Simply enter any number from 0 (waitlist off) upwards.

We recommend having no more than 20% of the total class capacity available as a waitlist to avoid queuing when there is little chance of securing a spot.

Automatic Waitlist Management

Waitlist management is fully automated until one hour before the class is due to start. During this period if a space becomes available Gymflow will automatically book the next person into the class.

Spaces are filled in sequential order based on who joined the waitlist first.

Automated Waitlist Emails

Users will get confirmation emails when they join the waitlist and if they secure a spot in the class, provided you have the "Event Booked" notification switched on.

Manual Waitlist Management

Once there is less than one hour to go before the class begins, Gymflow will no longer automatically manage the waitlist for you.

During this period, you can book users who are on the waitlist manually changing their booking status.
