πŸ“Š Know Which Promo Codes Pay Off

Running a promo code used to mean counting redemptions and hoping for the best. Now you can see which codes bring in paying members, who used them, and how much they've gone on to spend, then follow up with the right people in a couple of clicks.

πŸ† See your winners at a glance

Your Promotions page now shows Redemptions, Conversions and Conversion Rate for every code, so you can tell in seconds which campaign is pulling its weight and which one is just giving away discounts.

πŸ’· Know what a code is really worth

Open any code's report to see how much revenue it generated directly and, more importantly, how much the people who used it have spent since. A free day pass that led to twelve monthly memberships is a very different thing from one that led to none.

🎯 Find the right people and follow up

Filter the people who used a code by membership status, credit packs or when they redeemed it, then email, SMS or send a push notification them without leaving the page. A few ideas:

  • Trial and day pass codes: find everyone who tried you out but never joined, and win them back with one message.

  • High spend customers: Find your big spenders and follow up with another deal to drive more sales.

Head to Settings > Setup > Promotions and click the Report icon next to any code to try it. Read the guide, or see how conversions are calculated. New to promo codes? Start with Promotional Codes.

We'd love to hear which of your codes comes out on top.

Kind regards,
The Gymflow Team

πŸ—“οΈ October General Updates

A round-up of what shipped this month: five new reports, visit history for staff and members, notice periods for pauses, and two booking improvements that save your members a few taps.

πŸ“Š New Report Charts & Updated Reports

You'll find each one in the matching section of Reports, for example Reports > Classes or Reports > Appointments. Every chart can be filtered by date range at a minimum.

  • Class Bookings chart: see your class bookings over time. It shows Booked and Attended by default, but you can switch to any booking status and filter by booking category, class name, staff and facility.

  • Appointment Bookings chart: the same view for appointments, with extra filters for payment status and payment type.

  • New Leads chart: track how many new leads you're bringing in and spot which weeks or months perform best.

  • Invoices by Status: see all your invoices by status: Paid, Overdue, Written Off, Awaiting Authorisation, Refunded, and now Processing, so you can see payments by bank debit and that haven't cleared yet.

  • Class Attendance Leaderboard: see which members attended the most classes over any period you choose. Perfect for rewarding your most loyal members or running an attendance challenge.

  • Memberships Ending: Report now includes more information and additional filters for submitted date, cancellation reason and more.

πŸšͺ Individual Visit history for staff and members

  • For staff: the existing Visits tab on a member's profile can now be filtered by date range and downloaded as a CSV.

  • For members: members have their own new Visits tab, where they can see their visit history, filter it by date and download it as a CSV. Handy when they need proof of attendance for an employer wellness scheme or insurance claim, without having to ask your team.

⏸️ Notice periods for pauses

You can now set a notice period for self-serve pauses, so members have to request a pause a set number of days in advance. Like your other self-serve rules, it's set per membership in the membership settings, so each plan can have its own notice period.

The notice period applies when members pause their own membership. Read the self-service pauses guide to set it up.

πŸ“… Smoother booking for members

  • Jump to the next available appointment: if there are no appointments on the chosen date, members can go straight to the next available slot in one tap, instead of browsing day by day.

  • See when bookings aren’t open: members can now see when appointment bookings are not open yet before attempting the booking to improve the experience.

Next Available Slot

We hope these make things easier for you and your members. As always, we'd love to hear what you think.

Kind regards,
The Gymflow Team

πŸ“¦ Track and Fulfil Product Orders

You can now track every product order placed on your website or in the Members App, and mark it as fulfilled when the customer picks it up.

Going live Wednesday 30th September.

πŸ›’ Track online and app orders

  • See what's waiting: products bought online or in the app arrive as Pending until they're collected.

  • New Orders tab: every member profile now shows their full order history, with status, date and items.

  • No extra steps for in-club sales: products sold through the staff Shop are marked Fulfilled automatically.

βœ… Fulfil orders at pickup

  • Find the order fast: members can show their order from My Orders in the Members App, or staff can find it on the member's Orders tab.

  • One click to fulfil: hand over the items and click Mark As Fulfilled. Gymflow records who fulfilled it and when.

πŸ” Restock when you refund

Refunding a product order now asks what to do with the stock:

  • Reverse: refund and put the items back in stock.

  • Keep as fulfilled: refund without restocking, for example if the item has already been collected.

All your existing product orders have been marked as fulfilled, so there's nothing to tidy up. Read the full guide here.

We'd love to hear how it works for your club.

Kind regards,
The Gymflow Team
