Late Cancellations

Find out how to charge for late cancellations and no-shows to improve attendance and boost revenue.

You can automatically penalise gym members who cancel a class at the last minute. When a member is cancelling late they are notified prior to cancelling that they will not receive their credit for their booking back.

If you have a fee set they will also be automatically asked to pay your late cancellation fee before cancelling.

Specify a Cancellation Window

You can choose how close to the start of a class a member can cancel a class before it is considered a "late cancellation".


If a member cancels within this window:

  • The booking is cancelled and their slot is freed up for another member to book.

  • Any credits used to book the class are not returned.

  • If you have set it up, a late cancellation fee will be automatically charged.

To change your cancellation window:

  1. Head to Settings.

  2. At the top of the screen, choose Rules.

  3. Select the number of hours, days or weeks for your cancellation window.

  4. Choose Save.

If you don't want your members to penalised for late cancellations, simply set the value to '0', for instance "0 Hours".

Setup a Late Cancellation Fee

If you choose, late cancelers can be charged a fee, in addition to losing their credits.

To charge a late cancellation fee:

  1. Head to Settings > Rules.

  2. Under the Cancellations header, select Yes.

  3. Enter in the amount you would like to charge.

  4. Choose Save.

If you don't want to charge a late cancellation fee, simply choose 'No' instead.

Process A Late Cancellation

Staff members can make a late cancellation on the behalf of a member, either in the Staff Web Portal or the Staff App. Staff members also have the option to return the member's credit(s) and waive any late cancellation fees.

To make a late cancellation:

  1. Open the Calendar.

  2. Select the upcoming class.

  3. Under the Guest List, find the member who is cancelling.

  4. Select Remove.

  5. When prompted, confirm if you want to treat this as a late cancellation and whether to apply a fee (if you've set one up).
