Set Appointment Availability for Staff

Decide who will host appointments and when. Block time out in your diary for holidays and other events.

Set Regular Availability

Each staff member can decide if they are available for appointment bookings and set their regular availability.

There are multiple places you can set your availability. Your permissions will determine where you can access to change these settings.

  • Owners: Can manage anywhere

  • Managers: Can manage anywhere

  • Reception: Can manage from the Calendar or Staff App

  • Trainers: Can manage from the Calendar or Staff App

Important: Setting your availability does not mean you are available for bookings yet. You must also be listed as host in the appointment types you offer.

Staff Portal

To set your availably in the staff portal follow these steps:

  1. Log in with your staff account at app.gymflow.io

  2. Go to Settings and the Staff tab.

  3. Find your account (or the account of the staff member you want to edit) and select Availability.

  4. Toggle on Available for Appointment bookings

  5. Edit your regular shifts and tap Save

You can also access availability from the Calendar:

  1. Head to the Calendar page

  2. Switch to Trainer view

  3. Click the dropdown below your name and click availability

Staff Mobile App

To set you availably in the staff app follow these steps:

  1. Head to Profile and tap Availability

  2. Toggle the available for appointments setting on.

  3. Toggle on the days you are available

  4. Edit your regular shifts and tap Save
